What documents should you include?

Your application also includes attachments, such as a floor plan and a script. In some cases, a safety plan is also required.
It is wise to have these documents on hand before filling out the form. Please submit the documents for this application in the following file formats only: Word, Excel or PDF. This means, that a photo of a document is not sufficient.

Plan

Submit accurate floor plan (at least 1:100 scale) with:

• the layout of the event site
• the objects to be placed* with the dimensions
• street names and the address of the nearest facade

* The parts below with their corresponding dimensions should be marked in on the floor plan:

• dimensions of land to be occupied
• dimensions of structures
• dimensions of bouncy castles, attractions and other play objects
• stalls
• location where music is played and/or where speakers/sound boxes are located
• First aid station(s)
• toilets / sanitary facilities
• water tap(s)
• pitches
• catering / beer tap point(s)
• food / beverage sales
• fireworks and storage other hazardous materials
• energy sources to be used
• emergency exits / escape routes / routes for emergency services
• extinguishing water facilities
• Where driving/parking is done off the roadway
• road closures / waterway closures
• traffic controllers
• depositions of the site

The script contains the program for the event.

Safety Plan

Depending on the nature and size of the event, additional (safety) measures may be necessary. You state these measures in a safety plan. You can find examples of how to draw up a safety plan on the website of the municipality of Zoetermeer. The following sections may apply to your event:

Construction Data

For stages, (party) tents (larger than 25 m²) and other objects, send construction drawings and calculations as an attachment.
